Controller Actions

Overview:

A Controller Action is a Task for an interface between COGS-Well and one of your other systems (accounting, vendors, and POS systems) that is scheduled to occur automatically. You can use this feature to view or edit the time and frequency for an existing Integration task. Controller Actions are set up for you by COGS-Well as part of your initial system setup.  Our recommendation is that you contract COGS-Well support if you need additions or changes to Controller Actions. 

Things to know!

  • The Controller Actions feature will only be available to Users that have been given access to this function.
  • Controller Actions manage the schedule for your other systems integration Tasks. 
  • Controller actions are set up for you by COGS-Well as part of your initial system setup.  
  • Our recommendation is that you contract COGS-Well support if you need additions or changes to this function.

Add or Edit Controller Actions:

To view or edit a Controller Action, select Controller Actions from Tools>Collection>Controller Actions. The below screen will appear and if you have previously defined Controller Actions then they will be listed on the display. 

To add a new controller action, click the "+" button.  To edit or delete an existing Controller Action, click edit or delete on the row you wish to take action. The Controller Action Column lists all the defined actions.  The Run Time column shows the scheduled time of day for each Action to run. The Active column indicates if the Action is active.  The Last Updated and Updated by columns show the last date the action was added or modified and what User made the update. 

If you select to edit a Controller Action, a screen like the one below will display. 

Integration Name: This is a selection of Integrations that have been set up in your system by the COGS-Well support team. Click on the drop-down to view and select from the Integrations that have been set up. (Required field)

Run Time: Click the clock button and select the time of day that you desire the action to launch. Time options are in 15-minute increments. (Required Field)

Active: The purpose of this field is to allow you to make an active Controller Action inactive by deleting the checkmark. An Inactive Controller Action can be made Active again by clicking the checkmark box.

Run for All Sites: If you put a checkmark in the box then you do not need to define what Sites this Controller Action will launch for (it will launch for all Sites).  Otherwise, you can leave the checkmark out and define the Sites this action is applicable to on the screen below.

Available and Selected: Listed under the Available column are all the Sites that are available to be assigned to this Controller Action, but have not been assigned. Listed under Selected are all the Sites that have been assigned to this Controller Action. To move a Site from one selection to another, check the box by the Site you want to move and then hit the arrow direction you want to move it to.

Save, Delete and Exit

At the bottom of the screen are the Save, Delete, and Exit buttons.

Save - Saves the entry or entries without exiting.

Delete - Deletes the Action. You will be asked, "are you sure"?

Exit -  Exits without saving any new entries or edits.
