Assign Storage Locations to Items

Overview:

The Assign Storage Locations to Items feature enables you to select an Inventory, Combined, Recipe, or Production Item that is flagged as a counted item to one or more Storage Locations.   

Things to know!

  • This feature will only be visible if you are logged into a site.  
  • If you select an Item from your Dashboard that is displayed as an "Item Without Storage Location Assignments", then it will take you to this feature. 
  • This feature is the inverse of the Assign Items to Storage Locations feature. Instead of picking a Storage Location and assigning all the items that are in it, this feature lets you pick an item and assign it to all the storage locations where it is stored. 
  • Storage Location assignments are used to make Inventory Counts easier.
  • Storage Locations are set up via Inventory>Setup>Storage Locations.
  • Inventory, Combined, Recipe, and Production Items can be assigned to Storage Locations.  
  • Recipe Items that you want to count must be flagged as being counted for them to be assigned to a Storage Location (see Recipes & Sales>Setup>Recipe Items).
  • An Item can be assigned to multiple Storage Locations.
  • If a Storage Location is flagged as using Bin Numbers, and if Inventory Items are flagged as "Item is Stored in a Bin" via the Inventory Setup feature, then Bin Numbers can be assigned to Items in that Storage Location.
  • The setup of Storage Locations and the assignment of Items to Storage Locations is typically done by a Site User (someone at the restaurant who knows what and where inventory is stored).

Assign Storage Locations to Items:

To add, review, edit, or delete Storage Location Item Assignments, navigate to Inventory>Setup>Assign Storage Locations to Items via the Main Menu, or Manage Inventory>Assign Storage Locations to Items via the Process Menu. Upon selection, a "Find Grid" will display a listing of all of your Items: 

Find Grid Definitions:

+ Add, Export, and Search Options:

  • The blue "+ Add" button is used to add a new transaction.
  • The "XLSX" button will export the information on the grid to a spreadsheet.
  • The search option can find any part of a word or date on the grid. Type in your search criteria to initiate the search. 

Edit: Click the Edit button to the right on the row of the Item that you wish to edit.

Item Name: This is the name of the Inventory, Combined, or Recipe Item. 

Category Name: This is the Inventory Category that the item is in. 

Pack Size: This is the Pack Size for the Item.  

Active: This indicates whether the item is active or not. 

Special Find Grid Search, Filter, and Sort Tools:

  • Magnifying Glass Icon: The magnifying glass at the top of each column in the above grid has a search function that enables you to search within that field. If you hover your mouse over the magnifying class you will see options to use to refine your search.
  • Magnifying Glass and Calendar Icon: If a column has a magnifying glass and a calendar at the top of the column, the calendar can be used to select a date, and if you hover over the magnifying glass after you select a date, you will have options to refine the filter (such as equal to or greater than the selected date).
  • (All) Incon: Columns that display "All" have a drop-down arrow on the right that is used to select and filter for a specific status. For example, the Active column can be filtered for "Yes" items only.

Assign Storage Locations to Items:

The Find Grid includes more tools to help you find, filter, or sort the information on the grid according to your requirements. Some of these tools are intuitive, but other helpful tools can easily be overlooked. Please click this link for more information on Find Grid Tools - FAQs.

To view or edit the Storage Location(s) assigned to an Item, click the "Edit" key in the row of the item you wish to edit and a screen like the one below will display:

Available and Selected: Listed under the Available column are all the storage locations that have not been assigned to this Storage Location. Listed under the Selected column are all the Storage Locations Items assigned to this item. To move a storage location from one selection to another, check the box by the location or locations you want to move and then hit the arrow direction < or > you want to move them to.

Save & Exit, and Exit:

At the bottom of the screen are the Save and Save & Exit buttons.

Save & Exit - Saves the entry or entries and exits.

Exit -  Exits without saving any new entries or edits.
