Receiving Approvals Report

Overview:

The Receiving Approvals Report lists all Receipts (Invoices, Credit Memos, and CODs) that have been approved for the desired date range. There is an option to list for only a specific vendor or to only list approvals that have comments. An example of the report is shown below:

Things to know!

  • This report will only be accessible and visible to users who are given access to this report function. 
  • This report is only available if Receipt Approval is enabled in your Company Settings on the Receiving tab. 
  • The Receiving Approvals Report will list all approved Receipts for a selected date range, with options for a selected Vendor, or Approvals with Comments only. 

Report Parameters

To Run a Receiving Approvals Report, use the Sidebar to navigate to the Receive menu option, and then select the Receiving Approvals Report from the submenu. Upon selection, a Report Parameters screen like the one below will display:

Site: The Site prompt will appear if you are logged into your Company and you have multiple Sites. You can run for a specific Site or all Sites. 

Begin Date: From the drop-down calendar, select a starting date range. 

End Date: From the drop-down calendar, select an ending date range. 

Vendor: If you want to view only one Vendor, use the drop-down search to select the Vendor.

Include Only Approvals with Comments:  When a Receipt is Approved in the Enter Receipt Approvals feature, there is an option to Approve with Comments.  If you check this box only approvals with comments will report. 

Run Report: Once you have selected your report parameters, click the Run Report button to list the report.

Receiving Report:

Selecting to Run the Receiving Approvals Report will display a report similar to below: 

Column Headers: The first row reports the Site, Vendor Name, Type (Invoice, COD, or Credit Memo), Delivery Date, Document Number, and Total Amount displayed for each transaction. The second-row reports Approved by, Approved On a date, and any comments. The Document Number is displayed in blue font to represent that it can be drilled down to view the invoice detail (see below).
