Transfer Templates

Overview:

Transfer Templates are used to select and populate the items for transfer entry or a transfer worksheet in advance.  Transfer Templates can be created via Inventory>Setup>Transfer Templates. 

Things to know!

  • This feature will only be accessible and visible to users who are given access to it.
  • Transfer Templates allow you to control what items, and the sequence for those items, that list in on Transfer entries and Transfer Worksheets. 
  • Transfer Templates enable you to configure the items that you commonly transfer so they don't have to be keyed in manually each time. 
  • Transfer Templates can be set up for specific Sites and/or for specific types of transfer transactions. An example is a transfer template for "Start of Week". Or "Meats".  
  • Transfer Templates can be used instead of Inventory Groups to group like items or they can be used in combination with Inventory Groups. 

Add or Edit Order Templates:

To add, review, edit, or delete Transfer Templates, navigate to Inventory>Setup>Transfer Templates.  Upon selection, a screen similar to the one below will display a listing of all of your previously configured Transfer Templates on a "Find Grid":

Name: The name for the Transfer Template.

Active: This displays the status of your template.  

Last Updated: This column only shows when you are logged in at the company level. It shows the last time the template was updated. 

Last Updated User: This column only shows when you are logged in at the company level. It shows what User made the last update.  

Clone: A template can be "cloned" (copied) to a new template. If you believe it will save time to start with an existing template and modify it, versus setting up a new one from scratch, then use the Clone feature. 

Edit/Delete: Click Edit to view or edit a template. Click delete to delete a template.  

The Add button at the top middle of the Find Grid is used to add a new Transfer Template that has not already been configured. Clicking on this button will take you to the Transfer Template criteria display.

Transfer Template Configuration:

When you select to add or edit a Transfer Template, you will land on the New Transfer Template display as shown in the example below. In the below  example, we have selected to edit the Transfer Template for Thursday Transfers:

Transfer Template Tab:  The Transfer Template tab is for configuring the name, status, and sites for the transfer template.

Name: If you are entering a New Transfer Template or if you want to change the name of an existing one, enter it here (required field).  

Active: A Template can be made inactive by removing the checkmark.  It can later be made active again by restoring the checkmark. 

Available to All Sites: This field is only available when you are logged in at the company level. Check this box if the Template will be used by all Sites. If you do not check this box and if you have multiple sites, then a Sites tab for Site selection will be added to the display. 

Next: The next button will advance you to the Items tab. You can also click on the Items tab. 

Save: The save button will save your entries. 

Save & Exit: The save and exit button will save your entries and return you to the Find Grid. 

Delete or Exit: The delete button deletes your entries and the exit button will exit without saving.  

Items Tab: The Items tab is for configuring the items and the item sequence for the template. Click on the "Next" button or on the "Items" tab to move the Items tab. Below is an example of the items  tab:

Configuration Buttons: The buttons at the top of the display provide configuration tools as described below:

Use the Plus key to add a new Item to the Template.  If you click on the plus button you will be presented with a list of possible items. You can search and select the item from this list. Once you select an item you will see it added to the items grid as shown above. 

The X button is a delete button. Use the X button to delete an item that is currently on the Template.  First, find and highlight the item you wish to delete. After the item has been highlighted you can click the X button to delete the item. 

Use the up arrow key to move an Item up in sequence on the Template.  Highlight the Item first then click the arrow. 

Use the down arrow key to move an Item down in sequence on the Template.  Highlight the Item first then click the arrow. 

This is a drag button that is located to the left of each item on the items grid. You can use your mouse to click and hold the drag button and then move the associated item up or down in the list of items on the item grid. 

Use this button to copy the items assigned to an Inventory Group into your new template.  This option will save you time if you already have set up an inventory group with items that are the same or similar to the items you want to assign to this new template. 

Sites Tab: The Sites Tab is utilized to select the Sites that the Template will apply to. This Tab only displays if you did not flag the Template to be available to all Sites. Below is an example of a Template that is displaying the Sites Tab and the Sites Tab has been selected:

Available and Selected: Listed under the Available column are all the Sites that have not been selected for this Template. The Sites in the Selected column have been selected for this template.  To move a Site from one selection to another, check the box by the Site or Sites you want to move and then hit the arrow direction < or > you want to move them to. You can also double-click on a site to move it from one column to the other. 

Save, Delete, and Exit

At the bottom of the screen are the Save, Delete, and Exit buttons.

Save - Saves the entry or entries without exiting.

Save &  Exit - Saves the entries and exits back to Find Grid for Transfer Templates.  

Exit -  Exits without saving any new entries or edits.
