Custom Exports - FAQs

Overview:

Custom exports are used to provide transactional data exports (extensions, sales mix, transfers, theoretical costs, variances, etc.), in a CSV format, to provide data for use by another system. The data type, specific fields to export, and the sequence for the fields can be preconfigured via a Custom Export Template.

Things to Know:

  • This FAQ article will provide an overview of the process and features for setting up and running Custom Exports. It includes links to articles that provide additional information on these features.
  • Custom Exports cannot be automated. They are launched manually via the Custom Export feature.
  • A Custom Export Template needs to be set up before a Custom Export can be launched.

Why Use Custom Exports?

It makes sense to use Custom Exports when you need to export transaction data from COGS-Well for use by another system or for added calculations in Excel. The data is exported to Excel in CSV format and Custom Exports provides access to data not available via COGS-Well's standard reports.

Custom Export Templates also enable you to preconfigure what data fields to include in the export and the sequence of the fields. This can be helpful for alignment with another system.

Custom Export Templates:

The first step for using Custome Exports is to set up a Custom Export Template. A template allows you to preselect the data types, the fields, and to determine the sequence of the fields that will be exported when a Custom Export is launched.

To access Custom Export Templates, navigate to Tools>Custom Exports>Custom Export Templates. You will land on a Setup Grid that will display templates that have already been set up. Please click this link for information on how to set up Custom Export Templates:

Launch Custom Exports:

To launch a Custom Export, navigate to Tools>Custom Exports>Custom Exports. You will then be asked to use the drop-down to select a Custom Export Template. Please click this link for more information on Launching Custom Exports:

Accessing Custom Export Data:

A Custom Export will export an Excel Spreadsheet to your Downloads Folder. You will first see a message the export is calculating. Next, you should see a notification that a file has been sent to your downloads folder. The file name will be the name of the Custom Export Template and there will be a current date stamp.

To view the report in Excel you can either select if from the notification or you can navigate to your Downloads folder and select it there.
