Inventory Items - Ordering
Overview:
The setup feature for Inventory Items contains multiple tabs and there are quite a few fields on each tab. To keep our help concise, we have therefore created multiple help articles to cover all aspects of the inventory item setup feature. This article will focus on the Ordering tab on the Inventory Item Setup feature.
Things to Know!
- The use of Ordering is optional.
- Items can be defined as "Catch-Weight" Items for ordering.
- Items can be flagged to order Partial Packs in addition to full Packs.
- The use of a Par Level or Levels is optional (they are required for suggested order calculations).
- Par Level Types are set up via Inventory>Setup>Par Level Types. Par Level Types Setup.
- Inventory Items can be assigned Par Levels via the Par Levels Setup feature. Assign Items to Storage Locations feature. They do not need to be assigned via the Inventory Item Setup feature. The option exists here primarily for when you are adding or validating a new Inventory Item.
Inventory Item Setup - Ordering Tab:
Use the Sidebar to navigate to the Manage Inventory Items menu option and then select Inventory Items from the submenu.
The Ordering tab in the Inventory Item Setup feature is located next to the Item Items Group tab. This tab will only display if you enable Ordering in your Company Settings. This tab will also only show if you checked the box for "Item Can Be Ordered" (see below).
The Ordering tab enables you to assign unique ordering attributes to the Inventory Item you are viewing. Select the Ordering Tab and you will see a display similar to the one below:
Partial Packs Ordered: If you sometimes order less than a full Pack (a Partial Pack) of an Item, then put a checkmark in the box. An example is a wine item where you sometimes order a bottle and you other times order a case of 12 bottles. If you check this box, then you will be asked to enter the partial pack description and the number of partial packs per pack:
Catch Weight Item: A Catch Weight item is an Item where you don't know the exact weight when you order the item. Examples are a case of tenderloin or a whole salmon. Put a checkmark in the box if the item you are viewing is a Catch Weight item.
Par Levels: Par levels are optional in COGS-Well. They are utilized to calculate a suggested reorder quantity. Par Level Types are set up via Inventory>Setup>Par Level Types. Items can be assigned to Par Levels via Inventory>Setup>Par Levels. The option to do it here is primarily for when you are adding or validating a new inventory item. Par Level Type: This column will display the Par Level Types you set up via Inventory>Setup>Par Level Types.
Pack Name: This column will display the Pack Size name that is configured for the item.
Minimum Quantity and Order to Quantity: These two quantities can be entered for the item you are viewing, for each Par Level Type you have configured.
Minimum Qty: The Minimum Quantity is the lowest quantity of the Pack Name description that you are comfortable having on hand before you order more. You can think of the Minimum Quantity as what triggers the system to suggest you order more of an item.
Order to QTY: The Order To Quantity is how much you want to have on hand after you order the Item. Many people refer to this quantity as the "Par Level" for that Item.
Example: In the above Daily Bacon example, the Pack Name is Pound. In the High Volume Par Level, the system will suggest 12/14 Bacon is ordered whenever the theoretical on-hand calculation is equal to or below 10 Pounds. If 1 Pack (Pound) is on hand, the system will suggest an order quantity of 14 Pounds to bring the total up to 15 pounds (the Order To Quantity).
Once again, we want to remind you that if you want to assign Par Levels to multiple inventory items at the same time, it is easier to do via Inventory>Setup>Par Levels.
Save or Exit:
Save - Click the save button to save your entry.
Exit - Click the exit button to exit. If you have made unsaved changes, you will be asked, "Are you sure".
