Receiving Report

Overview:

The Receiving Report lists all recorded Receipts (Invoices, Credit Memos, and C.O.Ds), in summary, or detail, for the desired date range.

Things to know!

  • This report will only be accessible and visible to users who are given access to this report function. 
  • The Receiving Report will list all Receipts (Invoices, CODs, or Credit Memos) for a selected date range, by Vendor or selected Vendor. 
  • Invoice details are available via drilling down on a Receipt. 
  • There are buttons at the top of the report columns for sorting this report (highest to lowest or lowest to highest values).

Report Parameters

To Run a Receiving Report, navigate to Inventory>Reports>Receiving>Receiving Report. Upon selection, a Report Parameters screen like the one below will display:


Site Group: This field will only display if you have multiple sites and set up site groups for your company.

Site: The Site prompt will appear if you are logged into your Company and you have multiple Sites. You can run for a specific Site or all Sites.  Please note that if you select a Site, then options for running the report in "Detail" (includes inventory items for each receipt), "GL Summary" (provides the GL Account distribution for each invoice), or "Summary"  (provides summarized GL Account distribution). Some examples are provided below. 

Begin Date: From the drop-down calendar, select a starting date range. 

End Date: From the drop-down calendar, select an ending date range. 

Document Type: If you want the report to only include one type of document, then use the drop-down to select between Invoices, CODs, and Returns.

Vendor: If you want to view only one Vendor, use the drop-down search to select the Vendor.

Run Report: Once you have selected your report parameters, click the Run Report button to list the report.

Detail, GL Summary, or Summary: If you are logged into your company, this field will be available. Detail will include the inventory line item detail for each invoice. Summary will only include invoice summaries. GL Summary will summarize invoice totals by GL accounts.

Receiving Report:

Selecting to Run the Receiving Report, without selecting a specific Site, and in Summary, will report a line item for each invoice as shown below.

Site: The name of the Site to which the Receipt Transaction applies to. 

Type: A Receipt Type can be either an Invoice, a COD, or a Credit Memo. 

Vendor: The Vendor that the Receipt came from.

Doc #: The Document Number comes from your Vendor. It is displayed in blue font to represent that it can be drilled down to view the invoice detail (see below). 

Delivery Date: The Delivery Date is the date that an invoice was delivered.

Status: The Status is showing whether an Invoice has been exported to Accounts Payable. For Plate IQ customers, the status will always be exported or closed. If you are using COGS-Well's feature for exporting to Accounts Payable, the status may include blank or unbalanced. Please click this link for more information on Receiving Status

Total Amount: The total amount of the transaction.

Sort a Column: The report includes an option to sort the items in a column by highest to lowest or lowest to highest values.  The sort button can be clicked to invoke the sort and two clicks will reverse the order.

If you want to view the inventory line item detail for an invoice, you can click on the "Doc #" for that invoice to drill down to the item detail. Any item on a report that is in blue can be drilled down. An example of drilling down on the invoice from Bay Cities Produce is below:

Receiving Report - Vendor Selected (option for specific receipt):

If a Site is selected, the Receiving Report can be run for a specific vendor by selecting the vendor from the drop-down listing. After a vendor is selected, an option will be provided to run for a specific receipt using the drop-down in this field to select the specific receipt. An example of the parameters with a vendor selected is below:

Receiving Report - Detail Selected:

If a Site is selected, the Receiving Report will default to run in Detail. It will list every Receipt and include the inventory item detail for each Receipt. An example is below:

Receiving Report - GL Summary Selected:

If a Site is selected, the Receiving Report has a drop-down option to run GL Summary. It will list the GL Account distribution summary for every Receipt. An example is below:

If a Site is selected, the Receiving Report has a drop-down option to run Summary. It will list the GL Account distribution summary for all Receipts. An example is below:
