Release Notes - Version 21.01.01

Overview:

Release 21.01.01 went live on January 26, 2021. A summary of the updates and enhancements contained in this release is below.  Additional detail on new features or enhancements is listed below this overview: 

  • The suggested order calculation can optionally include a "Usage Projection". 
  • The transfer report now includes the "approved date". 
  • Transfer detail can now be exported to your accounting system. 
  • Transfer item detail can now be included in the Transfer Journal Report. 
  • Transfers can now be done between Sites that are in different Business Units. 
  • The Item Activity Listing now includes grand totals for pack quantity and amounts.  
  • The term "Receipt" has been changed to "Invoice" in receiving. 
  • The Sales Mix report now has an option to drill-down on the count for a Sales Item to see the daily detail.  
  • A new "Receiving by Item" report has been added. 
  • Items assigned to an Inventory Group can be copied to another Inventory Group. 
  • A new Combined Item will get a Pack Size assignment automatically.  
  • A new Combined Item that is counted will get a storage location(s) assignment automatically. 
  • A new option to explode Recipe Items that are counted into their raw ingredients on the Extension report. 
  • Additional information can be added for Vendors (phone #'s, rep. information, and due days). 
  • A Vendor's sales rep. and phone number are now included on a Purchase Order. 
  • There is a new interface to Sage Accpac accounting.

More detailed explanations of the updates and enhancements listed above are provided below: 

A "Usage Projection" can be included in Suggested Ordering: If you utilize or want to utilize Suggested Ordering, COGS-Well can now include a Usage Projection in the suggested order calculation that represents how much of an item will be used between the Order Date and the Next Delivery Date. The Usage Projection formula uses historical theoretical item usage as its basis so accurate recipes and a POS interface are required to use this feature. Approval Date on Transfer Report: As shown in the example below, the date a transfer was approved is now included on the Transfer Report: 

Transfer Detail Exported to your Accounting System: If you want to include the transfer transaction detail (versus summary) when you export Inventory Adjustments to your General Ledger, you now have the option to do so. You can then see the detail for each transfer transaction when you audit your General Ledger. This feature is turned on via a checkbox on the Accounting Tab, in Company Settings (see below).  

 

Transfer Journal Report can now include Item Detail:  Until now, the Transfer Journal Report has only printed in a summary mode. The Summary does show the Items that were transferred (just a debit and credit summary for each GL Account). You can now select Detail and audit the transactions for each GL Accounts (see below):

Transfers Between Sites that are in Different Business Units: Business Units are most commonly utilized when there are Sites set up under a common COGS-Well Company that do not all utilize the same GL Account list or numbering. An example is a restaurant concept that has company sites and franchisee sites set up in the same COGS-Well company database. Until now, a Site with different GL Accounts (like a franchisee Site) could not transfer to a Company Site (or visa-versa).   

The Item Activity Listing now includes Grand Totals: As shown in the example below, Grand Totals for Packs and for Amounts are now included in the Listing.  These Grand Totals were added to the Orders, Receipts, and Transfers tabs. The Sales Mix report now has an option to drill-down: If you run a Sales Mix Report for a date range that includes multiple days and then display the report, you can now drill-down on the total count for a Sales Item to see the daily detail.  In the example below, we have drilled down on the Breakfast Buritto count which was 180:

New Receiving by Item Report: For a selected date range, by the vendor, and by category, this report will show aggregated receiving totals for each Item. An Average Pack Cost and a High Pack Cost are included. In the example report below the totals and averages for each item represent all of the invoices over the November date range. Items assigned to an Inventory Group can be copied to another Inventory Group: If you are adding or editing an Inventory Group, then the Items tab with the dual list box for selecting Items has a new "Copy Items" button at the bottom (see below). Clicking the Copy button will ask you what Group you want to copy the selected items from and whether you want to update the order of the items after they are copied.   

  

A new Combined Item will get a Pack Size assignment automatically. Until now, the Pack Size for a new Combined Item needed to be entered manually. Often times the Pack Size for a Combined Item is the same as the Inventory Items assigned to it.  Now when you create a new Combined Item, the Pack Size and Units per Pack will default to be the same as the first Inventory Item that you assign to it.  You can still change this information, but it should save time when adding most new Combined Items.  

A new Combined Item that is counted will get storage location(s) assigned automatically. Until now, the Storage Location(s) for a new Combined Item needed to be selected manually. Often times the Storage Location(s) for a Combined Item are the same as the Inventory Items assigned to it.  Now when you create a new Combined Item, the Storage Location assignment(s) will default to be the same as the first Inventory Item that you assign to it.  You can still change this information, but it should save time when adding most new Combined Items. Please remember that you only will see the Storage Location assignment tab when you are logged into a Site (versus your Company). 

Explode Recipe Items that are counted into their raw ingredients on the Inventory Extension Report. This is best explained via an example. Let's say we have a Recipe Item for Chicken Salad - Prep and we have flagged it to be counted when we enter inventory counts. If we counted 5 pounds of Chicken Salad, the Inventory Extension Report will report a count of 5 pounds and an extended value using the cost of the combined ingredients. If you check the box for this "explode" option, then instead of reporting a count and value for Chicken Salad, it will report the quantity and value for each ingredient (the chicken, the celery, the mayonnaise, etc). Please keep in mind that if you are entering Production for a Recipe Item, then this feature will not apply because the ingredients are depleted when you enter Production.       

Additional information can be added for Vendors: New fields for Primary and Alternate Phone Number, and Representative name and Phone Number have been added to the Vendor setup feature.
