Transfer Request Worksheet

Overview:

The Transfer Request Worksheet is used to record transfer requests before entering them via the Request Transfer Entry feature. An example of the worksheet is shown below:

Things to know!

  • This report will only be accessible and visible to users who are given access to this feature. 
  • Transfer features must be enabled in your Company Settings (Company>Company Settings) to be visible on the menus. 
  • The Transfer Request Worksheet feature will only show up on your menu when you are logged into a Site (versus your Company). 
  • This worksheet is utilized to record Transfer Requests before entering Transfer Requests. 
  • For Transfers, the "To Site" is the Site requesting the transfer, and the "From Site" is the Site that will receive the Transfer Request. 
  • The Transfer Request Worksheet can optionally list only the Inventory Items in a selected Inventory Item Group.
  • The Transfer Request Worksheet can suggest item quantities to request if at least one Suggested Quantity Type for Transfers has been set up. 
  • When Suggested QuantityTypes are set up to calculate suggested transfer requests, there will be more fields on the Criteria display and more columns on the Entry display. This article therefore will show examples for both when Suggested Quantity Types are not used and when they are used.  
  • In COGS-Well, a "To" Site is the Site a transfer is going to. The "From" Site is the Site the transfer is coming from.

Report Parameters (Suggested Quantity Type is not Used):

To run a Transfer Request Worksheet, use the Sidebar to navigate to the Transfers menu option and then select the Transfer Request Worksheet. Upon selection, a parameters screen like below will display if you have not set up any Suggested Quantity Types for transfers:

Request Date: Select the date from the calendar drop-down for when the Transfer Request will be entered.

From Site: Select the Site from the drop-down search that the request is going to be made to (this is the Site where the transfer will come from).  

Inventory Item Group:  If items that you transfer have been assigned to an Inventory Item Group, you can select an Inventory Group to define the Items to include on the Transfer Worksheet. This is a required field for the Transfer Worksheet.

Item Sequence Order: Select if you would like the items to be listed in their sequence order. 

Run Report: Once you have selected your report parameters, click the Run Report button to list the report.

Report Parameters (Suggested Quantity Type is Used):

The Parameters display will detect when you set up at least one Suggested Quantity Type that is configured for Transfers and it, therefore, adds a field to select a Suggested Quantity Type (see below). In the below display, the Transfer Requests From Commissary Suggested Quantity Type was selected. 

Suggested Quantity Type: This field only applies if you want COGS-Well to suggest quantities for each item and if you have already configured at least one Suggested Quantity Type for transfer requests via the Inventory Setup feature.  Use the drop-down to select a Suggested Quantity Type. 

Next Transfer Date: This field will only display if you select a Suggested Quantity Type that includes a Usage Projection. This date is needed because a Usage Projection needs to cover the days between the Transfer Request Date and the Delivery Date. 

Par Level Type: This field will only display if you select a Suggested Quantity Type that includes the use of Par Levels in the suggested quantity calculations. Par Level Types and Par Levels are set up in Inventory>Setup>Par Levels. Par Levels enable you to configure a "Minimum" and an "Order To" quantity for each inventory item. Use the drop-down to select a par-level type. 

Transfer Worksheet - Suggested Quantity Type is NOT Used:

An example of the Transfer Request Worksheet without a Suggested Quantity Type is below: 

Columns: The Item name includes in paratheses whether the item is an inventory item (vendor name), Combined Item, or inventoried Recipe Item.  The Pack Cost is the most current cost for the Item. A Pack Quantity or a Count Quantity (or a combination of both) can be recorded in the blank lines. Comments can also be recorded.

Transfer Request Worksheet (Suggested Quantity Type is Used):

The Transfer Request Worksheet will display a report similar to below: 

Columns: When a Suggested Order Type is included columns for Packs On-Hand, Projected Quantity (if a Usage Projection was included), and a Suggested Pack Quantity Order will be added to the Worksheet. Transfer count quantities can be entered in Pack Size, Count Unit, or in combination.

Re-display Report Parameters: After a worksheet has been run, the carrot ("^") at the upper right side of the report (next to the Close button) will re-display the report parameters. This option can be used in the event you want to change parameters and re-run the worksheet or report.
